eTenderbox process
Moreland City Council uses eTenderbox to list and manage its tenders.
The tendering process using eTenderbox is:
- Firstly, Council raises a tender on eTenderbox.
- If Council raises a public tender, all registered suppliers for that category are notified as well as the link being advertised in the newspaper; if it is not a public tender, then only the selected suppliers are notified.
- Registered users logon and collect the documents. New users register with eTenderbox and then collect documents. This can be done any time of the day or night. There is no delay for delivery of documents waiting for staff to mail them.
- Council and the tenderer submit questions and answers via eTenderbox to ensure there is an auditable record of them.
- All tenderers who have downloaded documents will be notified of any new addenda.
- Tenderers can upload their tender submission via the eTenderbox. The system will advise the amount of space allowed for the documents and how much remains as the documents are uploaded. If documents are too large, the tenderer will know straight away and can take action to reduce document size.
- The tender will close on time in accordance with the clock on the system. Documents not uploaded at this time will be rejected. Moreland staff are unable to see any uploaded documents until the tender closes.
- Documents submitted to the Tender Box at 90 Bell Street, Coburg will be collected at the closing time and uploaded to eTenderbox for the tenderer. Both tender box closing times will always be the same.
- Questions of clarification may be sent using eTenderbox to make sure they are captured in the auditable record.
- Notification of an unsuccessful bid and successful bid will be sent using eTenderbox and results listed online in accordance with Moreland procedures.
